Job Description

We are looking for a highly organized and detail-oriented Office Administrator to manage daily office operations. The ideal candidate will be responsible for ensuring the smooth functioning of our office, providing administrative support to the team, and managing office resources efficiently. This role requires excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Oversee and coordinate daily office activities to ensure efficiency and compliance with company policies.
  • Manage office supplies inventory and place orders as necessary.
  • Answer and direct phone calls, emails, and other correspondence.
  • Greet visitors and provide assistance as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  • Maintain and organize office files, records, and documentation.
  • Assist in preparing reports, presentations, and correspondence.
  • Support HR functions such as onboarding new employees and maintaining employee records.
  • Handle basic bookkeeping tasks, including invoicing, payroll, and expense tracking.
  • Ensure the office is clean, organized, and well-maintained.
  • Collaborate with other departments to support various projects and initiatives.
  • Handle confidential information with discretion and maintain a high level of professionalism.

Qualifications:

  • High school diploma or equivalent; an associate’s or bachelor’s degree is preferred.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Knowledge of basic accounting and bookkeeping principles is a plus.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • A proactive approach to work and a positive attitude.
