Job Description
The Purchase Executive will be responsible for managing procurement processes to ensure the timely and cost-effective acquisition of materials, equipment, and services. This role involves vendor selection, negotiation, contract management, and ensuring compliance with company policies. The ideal candidate should have strong organizational skills, excellent communication abilities, and a thorough understanding of supply chain management.
Key Responsibilities:
- Procurement Management:
- Identify the company’s procurement needs and requirements.
- Source and procure quality materials and services at the best possible prices.
- Analyze market trends to identify potential suppliers and vendors.
- Prepare and process purchase orders in accordance with company policies.
- Vendor Relations:
- Establish and maintain relationships with suppliers and vendors.
- Conduct supplier evaluations and ensure timely delivery of products and services.
- Negotiate contracts, pricing, terms, and delivery schedules with vendors.
- Handle supplier inquiries, resolve issues, and ensure compliance with contracts.
- Inventory Management:
- Collaborate with the inventory team to maintain optimal stock levels.
- Ensure that inventory is replenished in a timely manner to avoid shortages.
- Monitor and track inventory levels, adjusting procurement plans as necessary.
- Cost Control:
- Analyze and compare vendor costs to ensure cost-effective purchasing.
- Implement strategies to minimize procurement expenses while maintaining quality.
- Evaluate total cost of ownership and look for cost-saving opportunities.
- Compliance and Documentation:
- Ensure compliance with company policies, legal regulations, and industry standards.
- Maintain accurate records of all purchases, contracts, and vendor details.
- Generate regular reports on procurement activities and expenses for management review.
- Cross-functional Collaboration:
- Work closely with departments such as operations, finance, and quality assurance to meet procurement needs.
- Collaborate with the logistics team to ensure smooth delivery and transportation of goods.
Qualifications:
- Education:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
- Professional certifications like Certified Professional in Supply Management (CPSM) or Certified Supply Chain Professional (CSCP) are a plus.
- Experience:
- Proven experience in procurement, purchasing, or supply chain roles.
- Skills:
- Strong understanding of procurement processes and supply chain management.
- Excellent negotiation, communication, and interpersonal skills.
- Ability to analyze data and make informed purchasing decisions.
- Proficiency in procurement software and Microsoft Office Suite (Excel, Word).
- Attention to detail and ability to manage multiple tasks under tight deadlines.
